We are hiring an Administrator / Operations manager

We are looking for a reliable, thorough and experienced administrator / operations manager to provide vital support to our small but growing organisation. This would involve two days work a month on a flexitime and open-ended basis. The ideal candidate would have substantial experience in the UK charity / NGO sector.

Salary: Daily rate equivalent of up to £300 per day (£600 per month) depending on experience.

Terms of employment: Flexible hours, equivalent to two full days per month.

Role and responsibilities:

1. Managing all dealings with the bank, bank account, signatories, and bank statements

2. Managing financial outgoings

- setting up payments on receipt of invoices (to be authorised by a director)

- liaising with accountants and external bodies over pay, pension, and NI

- ensuring that monthly payroll is delivered, accurately and on time

- booking meeting rooms, flights, hotels, etc for activities

- managing regular subscriptions

3. Monitoring and reporting on income and expenditure

- collecting and organising all relevant documents to support each item of income or expenditure (particularly in relation to funder requirements)

- providing quarterly reports of budgetary position (for Board) - identifying significant over or under spends against budget

- providing financial information for the annual report (and liaising with the accountant)

- providing financial information in the form requested by funders

- keeping track of funding proposal and reporting deadlines, assisting with reporting as needed

4. Budgeting

- providing professional input to the construction of budgets, both organisational, and project-based

- ensuring that the budgets submitted to funders are accurate and internally coherent

- ensuring that budgets submitted to funders conform to funder regulations

5. Office maintenance and administration

- ensuring that appropriate and adequate insurance is in place, including obtaining different quotes and advising on legal requirements

- managing our relationship with our registered office, including collecting and distributing mail

- preparing documents and room bookings for Board meetings

6. Compliance

- keeping abreast of all changes in the general organisational and employment environment and advising the organisation of needed changes (e.g. GDPR)

Other

Working pattern open to variation - we expect the tasks to take an average of half a day per week (4 hours) / two full days per month. There would be slightly busier periods around the end of year and any major organisational initiatives, but also quieter times. Details to be agreed between ECW and the appointed candidate.

Home working role, ideally London-based.
